Some of your team never walk through the office door. Technicians install equipment at client sites. Sales reps visit retailers across the city. Supervisors move between locations all day. For these people, a standard attendance register doesn’t work, and managers often find out what happened from a phone call, a WhatsApp message or a report written days later.
Know Where Your Field Team Is Working: QCLOSE HR Field Activities (Video Overview)
QCLOSE HR’s Field Activities feature fixes that. Watch the 70-second overview below, then read how it works.

What You See in the Video
The video follows a familiar problem. A manager is worried about what’s happening across several sites. A field technician is out on a job. The manager assigns the work in QCLOSE HR, the technician clocks in on their phone at the location, and the manager can see progress without chasing anyone.
How Field Activities Works
Managers assign the work
In the Attendance section, open Field Activities and select + Assign Activity.
- Pick the staff. Each selected employee gets their own assignment through the same locations.
- Add locations. Search by name or address, or pick the spot on a map. Add as many as the day needs.
- Set tasks for each location. For example, “Check PPE” or “Replace access reader”. Save a task list as a template for visits you repeat.
- Schedule and notify. Set the date, start and end time, then Assign & Notify, or save a draft.
Staff clock in and out at every location
Employees open My Assignments and see their locations and tasks for the day. At each stop they:
- Tap Clock In at this Location
- Capture a photo to confirm the clock-in
- Work through the task checklist and add notes
- Tap Clock Out at this location when they finish
The time on site is calculated for every location, so you can see how long each visit took.
Managers see progress as it happens
The Field Activities dashboard shows each person’s assigned locations, task progress (for example, 6 of 9 completed), last location, status and last activity time. You can filter by date, department and status. Open any assignment to see clock-in and clock-out photos, notes, the route on a map and an activity log.
Why It Matters
- Proof of presence. A photo with a time and location at each clock-in and clock-out is stronger evidence than a message saying “I’m on site”.
- Tasks tracked, not just visits. The checklist shows what was done, and notes capture what was found.
- Time on site you can see. Useful for client billing, job costing and spotting visits that ran much shorter or longer than planned.
- Less chasing. Managers can see progress without phoning around.
- One system. Field records sit alongside attendance, timesheets and payroll in QCLOSE HR.
Who It’s For
- Sales and merchandising teams visiting several outlets a day
- Technicians and installers working at client sites
- Facilities, security and inspection teams covering multiple locations
- Logistics and delivery supervisors
- Any business that bills clients for time on site
A Note on Privacy
Clock-in photos and location details are personal data. Under the Nigeria Data Protection Act, tell field staff what is collected, why, who can see it and how long you keep it. A short field-work notice, stored in QCLOSE HR’s Policies library, is a good start.
Try It on Your Own Field Team
QCLOSE HR offers a 5-day free trial with no card required. That’s long enough to assign a test route with a few locations, clock in at each one and see the records on the Field Activities dashboard.
