Photo (Selfie) Attendance on QCLOSE HR: How Clock-In, Breaks and Clock-Out Work

Employees enter their ID, take a quick photo, and clock in or out. See exactly how QCLOSE HR’s selfie attendance works from start of shift to finish, and how it stops buddy punching

Photo (Selfie) Attendance on QCLOSE HR: How Clock-In, Breaks and Clock-Out Work

A name in a register tells you someone claims to have been at work. A photo taken at the moment of clock-in tells you who was actually there.

That is the idea behind QCLOSE HR’s selfie attendance. It is quick for employees and gives managers a record they can check. Here is the whole process, from the start of the shift to the end.

Clocking In

Step 1: The employee identifies themselves

The Attendance Clock In/Out page asks for one thing: an Employee Name or Employee ID. The employee types their email or ID and taps Check. A note under the field says their information will be retrieved from the system, so there is nothing else to fill in.

Step 2: The system verifies the employee

QCLOSE HR looks the person up and confirms with an “Employee verified successfully” message. The Action button then becomes available. Until the employee has been found in the system, it stays greyed out, so no one can clock in under a name that doesn’t exist.

Step 3: Take the selfie

When the employee taps Clock In, the browser asks permission to use the camera. A live preview appears under Capture Your Photo, and the employee taps Confirm & clockin to submit. There is no separate app to install: it runs in the browser, so any device with a camera and a web connection can be used. Depending on the browser, the camera permission can be remembered, so the prompt may not appear every time.

Step 4: Instant confirmation

The employee sees a green “Clock In successful!” screen with the current time, their department, and a Clocked In line showing the exact time recorded. They know it worked, and nobody has to take their word for it later.

Taking a Break and Clocking Out

The same page handles the end of the day. The employee enters their name or ID, taps Check, and sees the same “Employee verified successfully” message.

This time the Action area offers two choices: Take Break and Clock Out.

To finish the shift, the employee taps Clock Out, the camera preview appears, and they tap Confirm & clockout. The screen then shows a green “Clock Out successful!” message with the current time, their department, and a Clocked Out line with the exact time recorded.

The clock-out is checked the same way as the clock-in, so the start and the end of every shift are both on record.

Why the Selfie Step Matters

It discourages buddy punching. The easiest way to cheat a sign-in sheet is to ask a colleague to write your time. With a photo attached to every clock-in and clock-out, that is much harder to do and easier to spot.

It gives you evidence. If a time is ever disputed, there is a record tied to that entry, not just a typed time.

It costs almost nothing to roll out. No fingerprint scanners, no turnstiles, no dedicated hardware. A device the business already has is enough.

It feeds payroll. Clock-in, break and clock-out records flow into the same system that handles timesheets and payroll, so the hours recorded are the hours paid.

Combine It With Location Controls

The selfie confirms who clocked in. QCLOSE HR’s attendance settings can also limit where they clock in from, through IP address restrictions and geolocation. Together, the two checks cover the two most common ways attendance data gets unreliable: the wrong person, and the wrong place.

Who Benefits Most

  • Shift-based teams in manufacturing, security, retail, hospitality, and logistics, where one missed or disputed shift has a real cost
  • Businesses with several sites, where managers can’t see the door themselves
  • Growing teams replacing paper registers and spreadsheets
  • Any HR team that is tired of reconciling attendance by hand before payroll

A Note on Employee Privacy

A photo of an employee is personal data. Under the Nigeria Data Protection Act, tell your staff why photos are captured, who can see them, and how long you keep them, and set a retention period. A short notice in your attendance policy, which you can store in QCLOSE HR’s Policies library, is enough to start.
